Terms & conditions

Please read these terms carefully. By requesting a quote, booking a service, or allowing us to perform cleaning, you agree to be bound by them. If you do not agree with any part, please do not use our services.

1. Definitions

  • "We", "us", "our" — Fresh Office Commercial Cleaning
  • "You", "your", "client" — the person or business engaging our services
  • "Services" — the cleaning and related services we provide
  • "Premises" — the location where services are performed
  • "Contract" — the agreement between you and us for the services

3. Services offered

We provide professional commercial cleaning including office cleaning (daily, weekly or monthly), commercial space cleaning, deep cleaning, window cleaning, floor care, washroom services, post-construction clean-ups and specialist cleaning as agreed.

4. Quotations and acceptance

Quote requests receive a ballpark estimate within 24 hours. We offer a free site visit for an accurate written quote, which is valid for 30 days unless stated otherwise. A contract is formed when you accept our written quote in writing, or allow us to begin work. You must provide accurate information about your premises and requirements; if it is inaccurate or incomplete, we may revise the quote.

5. Pricing and payment

All prices are in GBP and include VAT where applicable. Work beyond the agreed scope is charged separately. One-off services are payable on completion or within 7 days of invoice; regular contracts are agreed in writing. Late payments may incur interest at 8% above the Bank of England base rate under the Late Payment of Commercial Debts (Interest) Act 1998. We accept bank transfer, card, cash (smaller jobs) and cheque by arrangement. For ongoing contracts we may adjust prices with 60 days' written notice.

6. Cancellation and rescheduling

One-off services

  • More than 48 hours' notice — free, no charge
  • 24–48 hours' notice — 50% of the quoted price
  • Less than 24 hours' notice — 100% of the quoted price

Regular contracts

Either party may terminate with 30 days' written notice. Appointments may be rescheduled with at least 48 hours' notice at no charge, subject to availability. We may cancel or reschedule due to staff illness, severe weather or circumstances beyond our control, giving as much notice as possible and rescheduling at no extra cost.

7. Access to premises

You must ensure access to all areas at the agreed times, working utilities, secure access arrangements (keys, codes, alarms disabled), and clear notice of any hazards. If we cannot access the premises due to your failure to provide access, the full fee may apply unless 48 hours' notice was given. You are responsible for securing the premises after our staff leave, except where a breach is caused by our negligence.

8. Service standards & satisfaction guarantee

All work is carried out by trained, DBS-checked professionals using appropriate equipment and eco-friendly products. If you are not satisfied, notify us within 24 hours with specific details and we will re-clean the affected area at no additional cost (one re-clean per visit). The guarantee does not cover issues reported after 24 hours, damage or stains that cannot reasonably be removed, or work outside the agreed scope.

9. Cleaning products and equipment

We provide all necessary equipment, materials and eco-friendly products unless otherwise agreed, at no additional charge for standard supplies. If you prefer specific products, please tell us in advance; we are not responsible for the effectiveness or safety of client-provided products. Specialist equipment costs are included in the relevant quote.

10. Health and safety

We conduct risk assessments, use safe working practices and appropriate PPE, train our staff, and comply with relevant legislation and certifications. You must inform us of any known hazards or hazardous materials and ensure the premises are safe to work in. We may refuse work or evacuate if we identify unsafe conditions, with no charge unless caused by undisclosed hazards.

11. Liability and insurance

We carry £5,000,000 public liability insurance and employers' liability insurance as required by law (certificates available on request). We accept liability for damage to your property caused by our negligence or breach of contract, and for personal injury caused by our negligence.

Important limitations. We are not liable for pre-existing damage, undisclosed or hidden items, defects in the premises or equipment, loss of business or consequential losses, damage to delicate/antique/valuable items unless specifically agreed, or marks that cannot be removed with reasonable care.

Our total liability for any single claim is limited to the lowest of: our insurance coverage, the value of the damaged items, or twice the contract value for the relevant service. Report any alleged damage within 24 hours of completion. Please remove or secure valuable, fragile or personal items before cleaning and maintain adequate insurance for your property and contents.

12. Confidentiality & data protection

We treat all information about your business, premises and security arrangements as strictly confidential. We process your personal data in accordance with our privacy policy and UK data protection law.

13. Staff and conduct

All staff are DBS-checked, trained, uniformed and supervised, and conduct themselves professionally. We reserve the right to refuse service or remove staff who are subjected to abuse, harassment or unsafe conditions.

14. Complaints procedure

If you are unhappy, contact us immediately on 07464 698335 or info@freshoffice.co.uk with specific details. We will acknowledge your complaint within 24 hours and provide a resolution within 5 working days. If you remain dissatisfied, the matter may be referred to alternative dispute resolution or the courts.

15. Force majeure

We are not liable for failure or delay caused by circumstances beyond our reasonable control, including acts of God, severe weather, government restrictions, pandemics, utility failures or labour disputes not involving our staff. If such an event prevents service for more than 30 days, either party may terminate without penalty.

16. Intellectual property

All content on our website — text, graphics, logos and images — is our property or used with permission and may not be copied or reused without our written consent.

17–22. General terms

These terms, together with our written quote and any specific service agreement, form the entire agreement and supersede previous understandings. We may update them from time to time, posting changes with a revised date and giving 30 days' notice of significant changes to ongoing contracts. If any provision is found invalid, the rest remain in force. Our failure to enforce a right is not a waiver of it. You may not assign your rights without our consent; we may assign ours in connection with a business transfer. No third party has rights to enforce these terms under the Contracts (Rights of Third Parties) Act 1999.

23. Governing law

These terms are governed by the laws of England and Wales, and any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
